How to import machinery from China in six steps

From the idea to a machine running in your plant: the complete industrial import process, step by step.

Importing a machine from China can cut your investment substantially, but only if the process is under control from start to finish. These are the six steps we follow on every project.

1. Define what you (really) need

Before looking for suppliers you need a clear specification: output per hour, formats, materials, available floor space, voltage, integration with your current line and the regulations it must meet. The more precise the specification, the more comparable the quotes.

2. Find and vet suppliers

China has thousands of manufacturers for every type of machine, and the gap between them is huge. Check the business licence, visit the factory, see identical machines running and ask for references from European customers.

3. Negotiate price, lead times and terms

Negotiation is not just about price: it also covers manufacturing lead time, payment terms (usually a deposit and the balance before shipment), warranty, spare parts and the Incoterm, which defines who pays and who carries the risk on each leg of the journey.

4. Inspect quality at origin

Before the machine leaves the factory, a factory acceptance test (FAT) is carried out: the machine runs with your product and components, finish and documentation are checked. Fixing a defect in China costs a fraction of fixing it once installed.

5. Shipping and customs

The machine travels in a container or as breakbulk cargo to the destination port. At customs it is declared under its TARIC code, any applicable duties and import VAT are paid, and the conformity documents are presented.

6. Installation, commissioning and maintenance

The last step is what makes it all worthwhile: installing the machine, training your team and having someone close by when you need a spare part or a service visit.

At NIC we handle all six steps with a single point of contact, both here and in China. If you would like a first estimate for your project, the configurator only asks four questions.
